What is SharePoint?

A browser-based system that can enable effective document management and collaboration across your business.

Put simply, it allows organisations to create an intranet. Not only can this provide groups with a secure space for document sharing, but it can be used to store, organise, share and access information. Although predominantly used for document management, it could be used to create a knowledge base, share a global diary, give notices or updates across the company, or provide electronic forms that can be completed – the sky’s the limit!

Using SharePoint with OneDrive

Increase SharePoint functionality even further by using it in conjunction with other Microsoft applications, like OneDrive. There’s no need to change what you’re used to! This allows users to work in a familiar Windows environment, as well as being able to work on documents while offline.

What does using SharePoint look like?

An imaginary case study

The problem

A firm of imaginary solicitors are going through a period of growth, and the whole team are finding that their days are disrupted by trying to locate saved information. Files are becoming duplicated, causing frustrating delays for customers while users needed to check they are accessing the most up-to-date versions. With no document management strategy, users are emailing documents to themselves to ensure fast access when working from home.

How SharePoint could fix it

By implementing Microsoft SharePoint for centralised document management, everyone would be using the same solution whether in the office, or working remotely.

Our imaginary solicitors would be able to utilise the powerful search features to find files super quickly, and having them all saved in a centralised system means they can easily see they’re working on the most up-to-date documents.

Handling sensitive data isn’t a problem either. By combining SharePoint with Azure, their data could be saved behind the extra layer of protection afforded by Multi-Factor Authentication (MFA).

The conclusion

The whole team are now able to work much more effectively, spending less time trying to locate files. Frustration levels have reduced so the working environment is much more pleasant, and customers who are pleased with the speed and professionalism are now raving fans leaving glowing reviews.
